Great customer service is not just about what we do — it’s about how we make people feel.
During our recent Customer Service training, we explored how every interaction shapes the way people experience our business. Whether we are assisting a client, answering a telephone call, responding to a WhatsApp message or helping a colleague, the way we communicate and conduct ourselves matters.
One of the key takeaways was that customer service starts internally. Our colleagues and other departments are our internal customers. When we communicate effectively, respect one another, share information and take responsibility for our commitments, we create a stronger team that is better equipped to serve external customers.
We also looked at the importance of attitude, body language and personal grooming. A welcoming expression, a professional tone, attentive listening and a positive attitude can make a lasting first impression. Customers may not always remember exactly what we said, but they will often remember how we made them feel.
In today’s digital world, professional communication extends beyond face-to-face interactions. Emails and WhatsApp messages should be clear, courteous and appropriate. Telephone calls deserve the same level of professionalism, with a friendly greeting, careful listening and a clear commitment to follow up.
Perhaps the most important lesson is that excellent customer service is tested when things go wrong. An unhappy customer, a delayed response or a difficult conversation gives us an opportunity to demonstrate patience, empathy and accountability. Instead of blaming others or saying, “That’s not my problem,” we can listen, acknowledge the concern and focus on the next best step.
The 1% Challenge – We don’t have to change everything overnight. We simply need to improve one small behaviour at a time.
